Building Use Agreement
- The User will hold harmless the Landlord for any and all injuries in conjunction with this agreement or the use of the premises. The user must carry liability insurance if event is open to the public. The User has read and agreed to the “Rules Governing Use of RVUUF Facilities.”
- User will not allow any other person to use the facility.
- User will not assign the right of this agreement to any other party without written consent of Landlord.
- Rental rate includes one non-armed security personnel to be present during duration of event.
- The following provisions shall apply:
- User will provide their own microphone and sound system unless otherwise arranged.
- If the user chooses to move chairs, pews, or other items they must be placed back in their previous positions or forfeit the security deposit. Photos of the space are provided at the end of this document.
- Nothing will be placed on top of piano.
Rules Governing Use of RVUUF Facilities
- Renter must enter and leave through the front, double doors.
- All events must be concluded, clean up accomplished, and building and grounds vacated by 11:00 PM
- Renter must close and lock all windows that were opened when user occupied the facilities.
- Renter may use only the area specified in the Building Use Agreement, plus rest rooms and halls.
- Food is not allowed in the main hall, except under the balcony.
- The facility must be left in the condition it was found. User is responsible for damage to the premises and any necessary special cleaning. Some or all of the refundable security deposit may be retained by RVUUF at its discretion. If the user chooses to move chairs, pews, or other furniture items they must be placed back in their previous positions or forfeit the security deposit. Photos of the proper positions of chairs and pews are provided at the end of this document.
- PIANO & ORGAN ARE NOT TO BE MOVED, except by special arrangement. Piano moving will include the $55 piano fee, in order to account for tuning necessary after moving.
- Nothing is to be placed on the piano or organ. They should not be touched by adults or children, unless included in the Rental Agreement.
- Only blue, painters’ masking tape may be used anywhere. Cellophane or duct tape may NOT be used. Blue tape is available in the office and in the lobby table drawer.
- Renter must pay deposits to reserve space and full payment is due 10 days before event.
POLICY MANUAL– PROPERTY & MAINTENANCE
SUBJECT: Building Use
- PURPOSE: To describe policy related to use of RVUUF facilities.
- PERSONNEL COVERED: All users of RVUUF facilities, including members, nonmembers, and staff.
- RESPONSIBLE FOR ADMINISTERING: Office Administrator.
- POLICY:
- Use of facilities does not imply endorsement by RVUUF of the users’ political, religious, or other views.
- Use by political organizations or persons running for political office: The following disclaimer shall be included in material handed out at the event and/or orally at the beginning of the event: “As a religious institution, the Rogue Valley Unitarian Universalist Fellowship may not, and does not endorse any political candidate. We are, however, pleased to rent our facility for civic purposes.”
- There will be no smoking in any RVUUF facility including 20 feet from all entrances and exits.
- Serving liquor at any event will comply with City of Ashland regulations.
- Persons under the influence of alcohol or other drugs will not be allowed on the premises.
- No animals will be on the premises except seeing-eye, hearing, or other type of recognized service animal.
- User will not cause a nuisance: e.g., sound that causes disturbance to others.
- Keys will not be distributed to users unless the responsible party is a member or staff of the congregation, unless authorized by the Board.
- RVUUF is not responsible for items left on the premises.
- Children must be under adult supervision at all times.
